How to Scan Documents to a PDF with Your Phone
You do not need a flatbed scanner to turn paper into a PDF. A phone camera and a few good habits are enough for contracts, receipts, forms and homework. This guide covers how to photograph pages cleanly, combine them in the right order, and shrink or search the result afterwards.

What do I need before I start scanning?
Almost any recent phone camera is good enough for text. What matters more is the setup: a flat page, steady hands and light that does not cast shadows. Remove staples and paper clips so pages lie flat, and wipe the camera lens, since a smudge softens every photo you take.
Decide up front how you will combine the pages. Phones also have built-in scanners, such as the Notes app on iPhone or the Google Drive scanner on many Android phones, and these are worth trying. This guide uses a browser-based tool, which is handy when you want to scan on your phone and do not want to install anything.
How do I get clear photos of paper pages?
- Light: use bright, even light from a window or a lamp placed to one side. Avoid a single harsh light directly overhead, which causes glare on glossy paper.
- Surface: put the page on a plain, contrasting surface, such as a dark table, so the edges are obvious.
- Angle: keep the phone parallel to the page. Shooting from an angle skews the text and makes the page look trapezoid.
- Framing: fill the frame with the page, leaving a thin border. Do not cut off the margins or page numbers.
- Focus: tap the text on screen to focus before shooting, and keep your elbows on the table for stability.
- Shadows: do not let your hand or phone cast a shadow across the paper.
Not every tool straightens or crops for you. The Tools4PDF scan tool places pages as photographed, so framing carefully at capture time pays off.
How do I scan multiple pages into one PDF with Tools4PDF?
The Scan to PDF tool runs in your browser, so the photos are converted on your device and are not uploaded to a server. It works on a phone or a computer and needs no app.
- 1
Open the tool on your phone
Visit the Scan to PDF page in your mobile browser.
- 2
Capture or choose photos
Tap upload and choose Take Photo for each page, or pick pictures you already took. Repeat until every page is added.
- 3
Arrange the pages
Check the order before you combine. Reorder or remove any page that is blurry or duplicated.
- 4
Combine and download
Create the single PDF and save it. Open it afterwards and flick through each page.
How can I keep pages in the right order?
Number your stack lightly in pencil on the back, or photograph pages strictly in sequence without shuffling. For double-sided documents, shoot the front and then the back of each sheet, in that order, so page 1 is followed by page 2.
If you spot a mistake after combining, fix it in a page organizer rather than rescanning the whole stack. You can also scan a long document in batches and join the resulting PDFs with a merge tool later.
How do I shrink the PDF or make it searchable afterwards?
Phone photos are large, so a ten-page scan can be bulky for email or upload forms. Run the finished file through a compressor such as Compress PDF to reduce its size, and check that the text is still legible at the smaller size. Our compression tool may use server processing for larger files; files are processed securely and deleted automatically.
A scan is only a picture, so you cannot search or copy its words. An OCR step adds recognition of the text. The OCR PDF tool is available on paid plans, and accuracy depends on how sharp and straight the scan was. Always proofread important numbers and names afterwards.
Common problems and fixes
Receipts are small and often curled, so flatten them under a book for a minute and photograph several together only if each stays legible; separate pages are easier to reorder. Books and bound documents are harder because the page curves near the spine. Press the page flat with your hand at the edges, keep fingers out of the text area, and expect the inner margin to look slightly stretched.
Forms and contracts with signatures should be scanned at full frame so no edge, stamp or initial is cut off. For photos of whiteboards or posters, stand back and shoot straight on to avoid distortion. If you are scanning something you will need to read in detail later, take a little extra time per page now: re-shooting later, when the paper is gone, is not possible.
Finally, name the file clearly, such as the document type and date, and keep the original paper until you have confirmed the PDF opens correctly on a computer and not only on your phone.
- Text looks fuzzy: retake in brighter light, and tap to focus.
- Pages look slanted: hold the phone parallel to the page and retake.
- Glare on glossy paper: tilt the page slightly away from the light, or move the lamp to the side.
- File is too big: compress it, or retake at a lower camera resolution.
- Back of a thin page shows through: slip a sheet of dark paper behind it.
Official or legal documents may have rules about accepted copies. Check with the recipient whether a phone scan is acceptable.
