How to Redact a PDF So the Hidden Text Cannot Be Recovered

Drawing a black rectangle over a name looks like redaction, but the words are often still in the file. This guide explains why, how real redaction removes content, and how to test your result before you share it.

Quick answer: how do I redact a PDF permanently?

Use a method that removes the underlying content, not one that only paints over it. In Redact PDF, you mark areas on each page, and those pages are turned into flattened images with black boxes burned in, so the original text is no longer in the new file. Then test the result: try selecting and searching for the redacted words.

Why does a black box not protect the text underneath?

In a PDF, a black rectangle is usually an extra shape drawn on top of the page. The text it covers is still there in the page content, just hidden from view. Anyone can select the area and copy it, search for it, or use software to read the page structure.

This is a recurring cause of accidental disclosure when documents are shared: the visible page looks safe while the words sit underneath. The same applies to highlighting in black, changing text colour to match the background, or placing a white box over text. All of these hide; none of them remove.

What does true redaction actually do?

Real redaction deletes the content in the marked area and then covers the space, so nothing remains to be recovered. Professional editors do this by editing the page content directly. Our tool takes a different, stricter route: each page you mark is rendered to an image, the black boxes are painted into that image, and the page is replaced by it.

Because the new page is a picture, the original text and any images under the boxes are not in the saved file. The cost is that redacted pages stop being searchable or selectable, and the file may grow, since marked pages are re-rendered at about double resolution as high-quality JPEG. Pages you did not mark are copied unchanged and keep their text.

How do I redact a PDF step by step?

  1. 1

Open the PDF in Redact PDF.

Drag in your file. It stays in your browser and is not uploaded.

  2. 2

    Mark what to hide.

Drag rectangles over names, numbers, addresses or images. Use the page buttons to move through every page.

  3. 3

    Review your boxes.

Marked areas are listed on screen. Remove a single box or clear all of them before saving.

  4. 4

    Redact and download.

Create the redacted copy and save it under a new name. Keep the original separately.

Redact PDF runs entirely in your browser, so the file stays on your device. It only redacts what you mark: it does not search for words automatically, and it does not clean document properties, comments or other hidden data.

How can I verify that the redaction worked?

Do not assume; test. Open the redacted file in a different viewer than the one you made it in, if you can, and run through these checks on every page.

  • Try to select text under each black box and copy it into a text editor. Nothing should come out.
  • Use the search function for a name or number you redacted. There should be no matches on the redacted pages.
  • Zoom in and look at every page for areas you missed; an unmarked mention stays fully visible.
  • Check that names also do not appear in headers, footers, page numbers, captions or elsewhere in the document.
  • Look at the file name and, in your PDF viewer, the document properties for names or titles that give the subject away.

Passing these checks is a good sign, not a guarantee. If the document is legally or commercially sensitive, have it reviewed by the person responsible for compliance in your organisation before it is released.

What about metadata, comments and other hidden data?

Redaction of page content is only one part of removing sensitive information. A PDF can also carry its title, author, comments, form field values, attachments and bookmarks. Redact PDF does not remove these, so check them yourself.

Practical steps: remove or flatten comments and form fields beforehand (Flatten PDF can help for form data), delete pages that are not needed with Delete PDF Pages, and review the properties for a title or author you did not intend to share. If you want a reader-ready file, you can run OCR PDF afterwards to make the visible parts searchable again; this only recognises what is visible, so the redacted areas stay hidden.

Common mistakes when redacting

  • Overwriting the original instead of saving a new copy, so you cannot go back and fix a miss.
  • Redacting only the first mention and forgetting later ones.
  • Sharing a screenshot-quality file without checking low-contrast text near the edges of a box.
  • Assuming a password protects against recovery; a password restricts opening, not what is inside once opened.
  • Skipping the final verification step because the page looks right.

When should I use a different approach?

Image-based redaction is simple and strict, but it is not the answer for every document. If you need the rest of the document to stay searchable, accessible to screen readers or small in size, a desktop editor with a true redaction feature that edits the page content may suit you better. If an entire page is sensitive, deleting it with Delete PDF Pages is cleaner than blacking out every line.

It also helps to ask what the reader actually needs. Often the safest approach is to share an extract or a summary instead of the full document. For regulated or legal material, rules about what must be removed, and how, vary by country and context, so confirm the requirements with the responsible team and do not rely on any tool, including this one, to make that decision for you.

Finally, remember that redaction protects the file you send, not the copies that already exist. If an unredacted version was previously emailed or published, redacting a new copy does not undo that.

Frequently asked questions

Is a black rectangle in a PDF editor real redaction?

Usually not. A drawn box covers the text visually while the words remain in the file and can often be selected, copied or searched.

How does Redact PDF remove the content?

Marked pages are rendered to an image with black boxes painted over the chosen areas, then replace the original pages, so the text and images underneath are not in the new file.

Why are redacted pages no longer searchable?

Because they become images. You can run OCR afterwards if you need searchable text for the visible parts.

Is my PDF uploaded when I redact it?

No. Redact PDF works in your browser, so the file stays on your device.

Can I undo a redaction after saving?

Not in the saved file, so keep your original. Before saving, you can remove any box or clear all of them.

Does this remove metadata and comments?

No. It redacts only the areas you mark. Check document properties, comments and attachments separately before sharing.
